About TOKENN: WhatsApp queue and token software for small clinics

TOKENN is clinic queue management software that runs on WhatsApp. It is built and operated by Cyberzio Innovations Pvt Ltd, a company incorporated in Tamil Nadu, India, for solo doctors and small clinics that run their day on a queue rather than a diary.

What TOKENN is

A patient scans the clinic's QR or messages its WhatsApp number and gets a queue token, an estimated wait and an arrive-around time. When two patients are ahead, they get a reminder; when it is their turn, an alert. Reception runs the whole day from one dashboard on a phone or laptop, issues walk-in tokens in two taps for anyone without WhatsApp, and the waiting-room display on any TV announces each number out loud.

It is a queue, not a clinic management suite. It works alongside whatever EMR, billing or prescription software a clinic already uses, with no integration, because the queue and the records never need to talk. The OPD queue page is the fullest description of what it does day to day.

Who builds it

Cyberzio Innovations Pvt Ltd, Tamil Nadu, serving clinics across India. We are a small team and TOKENN is a young product; our first clinics are in Tamil Nadu, and the product is shaped by what their front desks actually deal with between nine and eleven in the morning. We build for the solo GP and the two-doctor practice, not for hospital IT departments, and the pricing reflects that.

We would rather be reached on WhatsApp than by form. Message the sales line and a person replies within the day; we also do the WhatsApp Business API setup with new clinics on a call when they do not already have an account.

What it deliberately does not do

No medical records

It does not store medical records, diagnoses or prescriptions. It holds token, queue and contact data, and nothing else; the Data Processing Agreement and Privacy Policy set that out in full.

No medical advice

The WhatsApp assistant never diagnoses, never suggests a medicine and never tells a patient whether a symptom is serious. It books, checks status, cancels and answers questions about timings and location. Anything medical is handed to reception, and if a patient mentions something urgent while booking, the case is flagged to staff. This is a fixed boundary in how the product is built, not a setting.

No app, no hardware

There is no app for patients to install and no hardware to buy. Those are design decisions, not gaps: an app is the reason most clinic queue systems go unused, and a kiosk is the reason they cost ₹30,000 before the first patient.

Where the data lives

Patient and clinic data, and the application itself, run on a dedicated server in Helsinki, Finland, in an ISO 27001 certified data centre (Hetzner). Data is encrypted at rest with AES-256, WhatsApp credentials are encrypted per clinic, and backups are taken daily with seven-day retention. WhatsApp messaging runs on Meta's official WhatsApp Cloud API on the clinic's own business number. The Security page has the detail.

How it is priced

Prices in INR, published: prepaid plans of booking credits, with WhatsApp messages, reminders, the display and every department included. Every clinic starts with 50 free booking credits, then 150 credits for ₹149; recharge with plans of 500 to 5,000, credits never expire, and there is no monthly fee.
