Why the notice on the door is not enough

It works for the patients who come in during that week. It does nothing for the patient who books from home at 7 AM on the closed day, the elderly father whose son books for him from another city, or the follow-up patient who was told "come back in ten days" and has no idea the ten days end on Diwali.
Those are the patients who turn up to a locked door, or who ring the clinic phone on the one day nobody answers it. The fix is not a bigger notice. It is making the closed days part of the booking itself, so a closed day simply cannot be booked, and anyone who asks gets an answer.
Two weeks ahead: set the closed days once
Take a two-doctor clinic in Coimbatore: a GP on tokens and a dentist on appointments. The doctor decides in the first week of October to close from Saturday 31 October to Monday 2 November for Diwali. The receptionist opens the Departments page, goes to the planned closures of the GP's department, picks 31 October and 2 November, types "Diwali" as the note for patients, and ticks "Apply to all departments" so the dentist closes too.
That is the whole setup. From that moment those three days disappear from the dentist's WhatsApp day list and from reception's booking screen. The GP's queue will not open on its own on those mornings, and a walk-in token cannot be issued into it. The AI assistant knows the dates too, so a patient who asks "are you open on Saturday?" in the week before gets the right answer instead of the usual hours.
A doctor's leave works the same way for one department. If only the dentist is away for a conference, only the dental department gets the closure, and the GP runs as normal.
Patients who already booked those days
The dentist had five appointments on 2 November before anyone knew about the closure. This is the one decision the clinic has to make, and it is made once, when the closure is saved. The screen shows who is booked and asks which way to go.
Cancel and tell them: the bookings are cancelled, the slots freed, and each patient with WhatsApp gets a message in their own language saying the clinic will be closed on those days and their appointment has been cancelled, with a Book another button that opens the next available days. A patient can rebook in the same thread without a phone call.
Keep them and move them yourself: the bookings stay, nobody is messaged, and reception uses Move on each one to put it on a new day. This suits a small list of regular patients the receptionist would rather call personally. Either way, a slot the clinic closed is recorded as not served, never as the patient's no-show.
On the closed day: what a patient hears
On 1 November a patient messages the clinic at 8 AM: "token venum". Instead of a token, the reply in Tamil says the clinic is closed today for Diwali and opens again on Tuesday, 3 November. The same answer goes to anyone who scans the QR on the door. The waiting-room TV, if it is left on, shows "Closed today", the note and the reopening day.
Nobody has to be at the desk for any of this, which is the point of a holiday. No appointment reminder goes out for a closed day, and the owner's evening summary is not sent for a day the clinic was shut.
The morning you reopen
The first morning after a festival is usually the busiest of the month. Patients who waited three days arrive together at opening time. Two things help. Advance booking lets patients take a token from home before the doors open, so the crowd is spread across the morning instead of standing at the shutter. And the dentist's rebooked patients are already on the day book, placed by the patients themselves.
If plans change and the doctor decides to open on the last closed day after all, the queue screen shows a Closed today banner with an Open today anyway button. It takes that one day out of the closure and leaves the rest as it was.
When the closure is not planned
Not every closed day is known two weeks ahead. A family emergency, a power cut or the doctor called to a hospital mid-morning needs a different tool: close the queue for the rest of today, tell the patients who are waiting, and still see the ones already in the building.
